    Default Hourly Cost for Reimbursement

    All,

I don't know if this has been kicked around here at all and my search did not reveal an answer.

While looking into the black hole rules of reimbursement it does not specify a rate. The 2016 GSA rate is currently $1.17/statute mile. Have any of you compared this to what you have calculated out as your hourly rate?

I am confident my incidental travel alone can be billed to my client, but I will only attempt this if it is the most cost effective scenario. I have been having too much fun just filling the tanks to run numbers.

    PA-22-150

A recent trip got me thinking that I needed to establish a defend-able hourly rate for quick estimates to clients and in the event the IRS ever asks.

Tulsa OK area to Pecos Tx. For ease of use lets assume I am billing a standard hourly rate of $100/hr for my time as a consultant. Any number could be subbed in here as it is just a matter of looking at comparable incurred expense for the time billed while traveling.

    Ground: 1260mi (Round Trip)
    Travel Time: 19hrs est.

    Ground Cost: 1260X$0.54(irs groud)+ 19hrs X $100=$2580

Airline Fare $630 (Round Trip) TUL-MAF
Travel Time Including Ground: 17.5 (DFW hub delay)

    Airline Cost:$630+(17.5 X $100)= $2380

    Tripacer Cost O38-KPEQ-O38 968nm or 1,114sm
    Time at 100knts no wind:4:54ea
    GSA rate $1.17/statute mile
    Tripacer Hourly Rate:...HELP PLEASE...

    GSA Cost: (1114 X $1.17) + (9.8 X 100)= $2283.38

The question is: Have any of you come up with a better and defend-able matrix for per tach hour (no hobbs) use?

    $60/hour (guesstimate)
    (9.8 X $60) + (9.8 X 100)= $1568

If anyone has some real numbers and experience with this, I would really like to hear about it.

    Best Regards,
    Russell

If you have good data or a defendable idea/opinion...l share it for all..
I would like another's opinion on my "over/under estimates.

Did you post some estimates somewhere?

I built this when I was trying to justify buying an airplane. I wanted to see if the cost of a trip (with all hourly and overhead costs included) would be cheaper or more expensive in an airplane. In the end it was just an empty drill and I ended up buying the plane anyway, so I haven't updated it or kept track of it.

Mine was not broken down to the mile but it was easy enough so I went ahead and did that, assuming cruise speed = ground speed.

EDIT: found out I can attach a spreadsheet. Its attached now.
